About the project

A custom visitor management module for the Gozo Indoor Sports & Aquatic Pavilion (GISAP): members scan a virtual access card to sign in and out in a single tap, bookings stay in sync with Planyo, and administrators get real-time alerts — all hosted on Azure with a Next.js application built to be maintainable and extensible.

Challenge

GISAP needed to manage every visitor scenario at a busy sports and aquatic venue — standard members, school classes, pre-registered and walk-in event attendees, and parents accompanying children — while validating access cards at entry and exit, keeping bookings in sync, and giving administrators live visibility of issues. All of this had to happen without disrupting the reservation reporting the team already relied on in Planyo.

Solution

We built a custom visitor management module with a fast, kiosk-style interface. Members scan the QR code on their virtual access card (on their phone or printed); the system validates it against the Planyo API, automatically signs them in or out, and sets the matching booking to Checked-In or Checked-Out. Dedicated manual flows cover every no-card scenario. Exceptions — expired cards, missing bookings, duplicate scans, upstream API errors — are pushed in real time to an Admin Notifications Portal via Azure Web PubSub. Reservation reports stay in Planyo, while visitor logs, occupancy and history live in the new module's own dashboards, fully owned by GISAP.

Outcome

Entry and exit are reduced to a single QR scan with clear, colour-coded feedback, keeping throughput high during peak hours. Administrators see exceptions the moment they happen — no manual refresh — and GISAP owns its visitor data end to end. Hosted on Azure with Next.js, the system gives the venue enterprise-grade availability, regional data residency, and a clear path to add new visitor categories, turnstile vendors, or custom analytics later.

  • QR Access-Card Validation

    Members scan the QR on their virtual access card — phone or printed — and the system checks expiry and active membership against the Planyo API before letting them in.

  • Automatic Sign-In & Sign-Out

    A single scan creates the sign-in record and sets the Planyo booking to Checked-In; sign-out mirrors it as Checked-Out. Members never fill in a form.

  • Every Visitor Scenario

    Purpose-built flows for standard members, school classes, pre-registered and walk-in event attendees, and parents — with fast manual sign-in for anyone without a card.

  • Real-Time Admin Notifications

    Expired cards, missing bookings, duplicate scans and API errors are pushed live to admin consoles via Azure Web PubSub, appearing on screen with no page refresh.

  • Live Dashboards & Visitor Logs

    See who's signed in, occupancy by area, and historical visit logs with date-range search and CSV export — while reservation reports stay untouched in Planyo.

  • High-Throughput Kiosk UI

    A full-screen scanner with large, unambiguous feedback — green for success, yellow for no-booking warnings, red for invalid or expired cards — plus configurable manual entry forms.

  • Turnstile Integration (Future)

    A clean path to drive turnstiles via ACS systems such as Dormakaba or Alvarado, with automatic bypass for visitor categories that don't carry an access card.
